How to choose beauty salon software in Malaysia: a checklist and 15 questions

Know your salon, tick what you need, ask the same questions everywhere, then test with your own situations.

Short answer: Choose salon software in four steps. First, be clear about what kind of salon you run. Second, check the features you actually need against a checklist. Third, ask every vendor the same questions about price, data and support. Fourth, test the demo with your own real situations, not the vendor's script.

Step 1: be clear about what kind of salon you run

The "best" system depends on how you make money. A booking-led nail studio and a package-heavy facial salon with eight staff need very different things.

Your salonWhat matters mostWhat matters less
Solo or 1–2 staff, mostly single services and bookingsEasy online booking, WhatsApp reminders, simple billing, low costSplit commission, multi-outlet reports
Several staff, selling packages, prepaid credit or membershipsPackage types, instalments and debts, split commission, customer profiles, follow-upBooking marketplace
Two or more outlets, or planning to expandOutlet-level reports, stock transfer between outlets, staff access control, discount approval, daily owner reportThe lowest monthly fee

Step 2: the salon software checklist

Tick what you need first, then check each vendor against your list. A feature you don't need is not worth paying for; a feature you need but don't have will cost you every month.

Billing and packages

  • One bill for services, products and packages together
  • Session packages deducted automatically, with sessions left always visible
  • Prepaid credit, memberships, vouchers, coupons and deposits
  • Part payment: a RM1,000 package with RM300 paid keeps RM700 owed on record
  • Prices can't be changed at checkout; discounts need a reason and, above a limit, a manager's approval
  • LHDN MyInvois e-invoice

Customers and retention

  • One customer profile: balances, debts, history, notes and consent forms
  • Customer tags, so marketing goes to the right people
  • Retention rate with a time window, not just "visited twice ever"
  • Lists of customers who should have come back, handed to staff to follow up
  • Automatic WhatsApp booking reminders, birthday messages and package-expiry reminders

Staff

  • Commission calculated automatically, including several staff on one bill
  • Staff can check their own sales, commission and roster on their phone
  • Access set by role, with the option to log in only at the outlet

Inventory

  • Every stock change needs a reason
  • Stock transfer between outlets
  • A stock-take method staff can't simply tick through
  • Salon-use stock checked against services done

Reports and owner control

  • Sales split by product, treatment and package, not just a total
  • Reports by staff, outlet, age group and customer type
  • A daily report sent to the owner, so you know the day's business without being there

Practical

  • Works on phone, tablet and computer
  • Each salon's data kept separate, backed up daily, handled in line with PDPA
  • Help moving your data from your current system
  • Support in your language, from people who understand salons

Step 3: questions to ask before buying

Ask every vendor the same questions and write the answers down. The differences usually show up in the small print.

Price

  1. What exactly is included in the monthly fee, and what costs extra?
  2. Do you charge per outlet, per user or per staff member?
  3. Are WhatsApp messages limited? What happens after the limit?
  4. Do you take a percentage of my sales, or charge payment fees on top?
  5. Is there a contract or lock-in? Do I have to buy your hardware?

Data

  1. Who can see my customer data? Can your staff log in to my account?
  2. Can I export my data? What happens to it if I stop using the system?
  3. Can I stop staff seeing customer data from home?

Moving and starting

  1. Can you move my customers, sessions left, prepaid credit and debts from my current system?
  2. Who sets up my services, packages and staff? Who trains my team?
  3. How long until we are live?

Support and fit

  1. What are your support hours, and in which languages?
  2. Can you show me how a discount is approved and traced afterwards?
  3. How is commission calculated when three staff serve one customer?
  4. How long have your salon customers stayed with you?

Step 4: test the demo with your own situations

Every demo looks good when the vendor drives. Bring four situations from your own salon and ask them to do it live:

  • Sell a RM1,000 package, collect RM300 today, and show where the RM700 owed appears.
  • Bill one customer served by three staff, and show each person's commission.
  • Give a discount above a staff member's limit, and show who approved it.
  • Show last month's sales split by product, treatment and package, then by staff.

If a situation takes many workarounds in the demo, it will take many workarounds every day.

Warning signs

  • Staff can change prices freely at checkout.
  • Packages are recorded as one sale, with sessions left kept in notes.
  • You can't get your data out, or it's unclear what happens to it when you leave.
  • Reports only show totals and rankings, with no way to break them down.
  • The price you were quoted doesn't include things you'll clearly need.

Frequently asked questions

What should I look for in salon software?

Start with how you make money. Package-heavy salons should check package types, instalments and debts, split commission and retention tracking. Booking-led salons should check online booking and reminders. Multi-outlet salons should check outlet reports, stock transfer and staff access control.

What questions should I ask a salon software vendor?

Ask what the monthly fee includes, how outlets and users are charged, whether WhatsApp messages are limited, whether they take a cut of sales, who can see your data, what happens to your data if you leave, and whether they can move your current balances and debts.

How do I test salon software in a demo?

Bring your own situations: a package paid in parts, one bill shared by three staff, a discount above a staff limit, and last month's sales broken down. Ask the vendor to do each one live.

Is the cheapest salon software the best choice?

Not always. Compare what you need against what each plan includes and what costs extra. A system that lets packages, debts or stock slip through can cost more each month than the fee you save.
