Short answer: don't let bills disappear. In CCS Plus, voiding or refunding a bill needs permission and a reason, the system records who did it and when, and the owner is notified immediately. Every night the WhatsApp report splits money received into cash, card and transfer, so if the money and bills don't match, you know right away.
With other systems, a bill gets deleted and you don't know. With CCS Plus, you know right away.
How does bill deletion happen?
The most common case: a customer pays cash, staff make the bill and take the money, and after the customer leaves, the bill is deleted or changed to a smaller amount and the difference goes into a pocket. The system's sales and the cash drawer match perfectly, and the owner sees nothing.
Cash is the riskiest, because it leaves no bank record.
Why ordinary systems can't catch it
- A deleted bill is simply gone from the system.
- The owner only looks at total sales, with no idea which bills are missing.
- Staff can edit a bill's amount directly, with no approval.
How CCS Plus does it
- Voiding needs permission and a reason: not every staff member can void a bill, and a reason is always required.
- The record stays, and the owner is told: a voided bill doesn't count as sales but doesn't disappear; you can see who voided it and when, and the system notifies the owner immediately.
- Mistakes are reversed, not edited: a refund or correction is a negative reversing line. The original bill and the correction both stay, and the books still balance.
- Every bill balances: every bill is "total = paid + outstanding", so money short-collected becomes an outstanding balance instead of vanishing.
- Nightly cash check: the WhatsApp report splits money received into cash, card and transfer, so the cash can be checked against the drawer at closing.
| Situation | Ordinary billing system | CCS Plus |
|---|---|---|
| Staff delete a bill | It's gone | Needs permission and a reason; a record stays and the owner is notified |
| A bill was made wrongly | Edit the old bill's amount | Corrected with a reversal; both are kept |
| Customer paid less | Can't tell | The difference becomes an outstanding balance |
| Owner wants to check cash | Wait for staff to compile and send | Nightly WhatsApp report with cash listed separately |
Pay special attention to cash
At closing every day, check the cash in the drawer against the cash on the report. When it matches day after day, staff know you're watching. The day it doesn't match, check it that day. Don't wait for month-end.
Do this today
At closing tonight, check the cash in the drawer against the cash received in the system. Then pull last month's voided bills and look at the reasons and who voided them.
FAQ
Can staff delete bills?
In CCS Plus, voiding a bill needs permission and a reason, and not every staff member has it. A voided bill leaves a record showing who did it, and the owner is notified immediately.
Do voided bills count as sales?
No. Voided bills are excluded from sales, but the record remains and can be checked later.
What if a bill was made wrongly?
Correct it with a refund or reversal. The original bill and the correction are both kept, and the books still balance.
